A specific polymer grade, a Pantone colour code, a dimensional tolerance of plus or minus 0.5mm: these terms translate consistently across manufacturers because the raw materials themselves are engineered to be uniform. The same cannot be said for bamboo, birch wood, or wheat straw. These materials arrive at factories with inherent variability that no specification document can fully account for.
Consider what happens when a buyer specifies "natural bamboo colour" for a cutlery order. To the buyer, this phrase conjures a specific mental image—perhaps the pale golden tone they saw in a sample or a competitor's product. To a factory in Fujian province processing bamboo harvested from different groves across different seasons, "natural bamboo colour" encompasses a spectrum ranging from nearly white to deep amber, all of which technically qualify as the material's natural state. Neither party is wrong in their interpretation, but the gap between expectations creates friction that often gets attributed to supplier negligence when it is actually a specification failure.

The situation becomes more complex when specifications attempt to control characteristics that natural materials simply do not offer consistently. Grain direction in wooden utensils, for example, affects both aesthetics and structural integrity. Products that meet specification at the factory gate may test differently after weeks in transit through varying humidity conditions. In practice, food contact regulations vary significantly between markets. A coating approved for food contact in China may require additional testing to meet EU or FDA standards. Compostability certifications issued by different bodies—OK Compost, BPI, AS 5810—have different testing protocols and acceptance criteria. A supplier providing products that meet one standard may genuinely believe they have fulfilled a specification that the buyer intended to reference a different standard entirely.
What makes these interpretation gaps particularly problematic is that they often remain invisible until products arrive. These variations are features of working with renewable materials, not defects to be specified away. The organisations that build successful long-term supplier relationships in this space are those that learn to write specifications acknowledging this reality rather than pretending it does not exist.
Understanding specification interpretation as a dialogue rather than a directive does not mean accepting whatever suppliers deliver. It means investing the communication effort upfront to ensure both parties share the same mental image of what success looks like. This investment pays dividends not just in reduced disputes but in suppliers who feel empowered to flag potential issues before they become problems—because they understand what the buyer actually cares about rather than just what the specification document literally says.
